Tenant Payment Details¶
Overview¶
A tenant record keeps the tenant's bank details on file on its Payment tab. Enter the details you hold for the tenant — domestic (ACH and wire) or international (SEPA) — when you add or edit a tenant. The tenant view shows whether each payment rail is set up without putting account numbers on the page.
Entering Payment Details¶
Payment details are entered on the Payment tab of Add Tenant or Edit Tenant. All fields are optional:
- ACH Routing Number / Bank Code, Account Number, and Account Type for ACH details
- Wire Routing Number for wire details
- BIC / SWIFT Code and IBAN for SEPA details
Validation¶
- When you enter or change an ACH account number, you must re-enter it in the Confirm Account Number field. A typed confirmation must match the account number even when the account number itself did not change. Leaving the confirmation blank is allowed only when the stored account number is left as-is.
- ACH and wire routing numbers must be nine digits and pass the ABA checksum. A routing number that fails the checksum cannot be saved.
- ACH account numbers accept letters and numbers only.
- IBAN and BIC / SWIFT values are validated when entered. IBAN spacing and hyphens are normalized automatically.
Clearing the fields on a tenant that already has payment details clears the stored details. Leaving the Payment tab empty on a tenant without stored details saves nothing.
Approval and Proposed Edits¶
New tenants start as drafts. Select Approve when no approval workflow is configured, or initiate an available workflow. The tenant becomes active after the final approval. Existing active and closed tenants retain their approval when this feature is enabled.
The tenant status shows Pending Approval during initial review, or Approval On Hold when that review is held. Once approved, it shows Active or Closed. A proposed-edits review keeps that lifespan status unless its workflow disables activity, in which case the status shows Activity Disabled. The review notice links to the proposed edits.
The tenant's name, legal entity name, tax ID, registration number and country, portfolio assignments, and payment details are controlled values. For an approved tenant with an eligible workflow, edit these fields and select Next to review and submit proposed edits. The approved values remain live until the proposal is approved. Rejected or withdrawn proposals do not change them.
While submitted proposed edits are under review, affected values are highlighted on the tenant detail page. Hover over or focus a highlighted value to compare the current and proposed values and open the full proposal. Payment changes highlight the affected ACH, Wire, or SEPA configuration, with identifiers masked unless you have permission to view payment details.
Descriptions, notes, reference IDs, mailing addresses, contacts, and documents do not require approval. On the proposed-edits review page, these changes save when you select Save or initiate the proposal; they are not held for the approver.
Controlled edits are locked while approval is pending. When the workflow disables activity, lease edits and lease approval for this tenant are blocked until the proposal is reviewed. When activity remains enabled, leases continue to use the approved tenant values. Drafts, tenants without an eligible workflow, and users granted Edit approved tenant can save controlled values directly when no approval is pending.
Tenant approval checks master data. It does not approve a refund or authorize any payment to a tenant.
Revealing Stored Details¶
The Payment tab on View Tenant shows whether the ACH, Wire, and SEPA rails are set up, with no account numbers on the page:
- ACH is set up when the ACH routing number, account number, and account type are populated.
- Wire is set up when the wire routing number and ACH account number are populated.
- SEPA is set up when the BIC / SWIFT code and IBAN are populated.
Users who can edit that tenant, or who hold Payment · Payment · View, can select View payment details to reveal the full stored values. Users without that access see only the set-up indicators.
